trader terms and conditions
Last updated: 5 November 2026

These terms and conditions apply to all commercial traders, charities and community organisations participating in Moira Canal Festival 2027 at Moira Furnace Museum & Country Park.

By submitting an application and accepting a pitch, traders agree to comply with the following conditions.

1. Applications & Acceptance

All applications are reviewed by the Moira Canal Festival Organising Committee. Submitting an application does not guarantee a pitch. The committee reserves the right to accept or decline applications, taking into account available space, suitability and the variety of stalls attending.

Successful applicants will receive confirmation of their acceptance and an invoice for payment.

2. Pitch Fees & Payment

Pitch fees for the full festival weekend are:

  • 3m × 3m: £75 (£40 for eligible charities and non-profit organisations)

  • 6m × 3m: £140

  • Larger pitches: Price on application

  • Vehicle parking alongside a stand: Additional £20, subject to approval and availability

Payment is requested after an application has been approved and will be collected through a separate invoice issued via SumUp.

A pitch is not confirmed until full payment has been received and booking confirmation has been issued by the organisers.

3. Cancellations & Refunds

Cancellation by Traders

If you need to cancel your booking, please notify the festival organisers in writing as soon as possible.

  • More than two calendar months before the festival: A full refund of your pitch fee will be issued.

  • Within two calendar months of the festival: Unfortunately, no refund will be issued.

All cancellation requests must be sent to traders@moiracanalfestival.com.

Cancellation of the Festival

In the unlikely event that Moira Canal Festival is cancelled by the organisers, traders will be offered the choice of:

  • A full refund of their pitch fee.

  • Carrying their pitch fee forward as credit towards the following year's festival.

The festival organisers will contact affected traders to arrange their preferred option.

4. Pitch Allocation & Setup

Pitch locations are allocated by the festival organisers and are subject to site layout, safety requirements and availability.

Traders must ensure their complete setup fits within their allocated space, including gazebos, awnings, serving areas and equipment.

All stalls, gazebos and other structures must be safely erected, secured and maintained throughout the event.

Setup, unloading and dismantling arrangements will be communicated to confirmed traders before the festival.

5. Vehicles & Parking

Vehicle parking alongside stalls is strongly discouraged due to limited space. Traders should unload their equipment and move vehicles to the designated parking area wherever possible.

Where keeping a vehicle alongside a stand is essential, permission must be requested in advance. An additional £20 charge applies to approved requests.

Permission is not guaranteed, and all vehicle movements must follow the instructions of festival organisers.

6. Electricity & Equipment

Electricity requirements must be declared during the application process and are subject to availability and approval.

Traders are responsible for ensuring that their electrical equipment is safe, properly maintained and suitable for use at the event.

Generators, LPG appliances and other potentially hazardous equipment must be declared in advance and may be subject to additional safety requirements.

7. Insurance & Health and Safety

All traders must hold appropriate Public Liability Insurance for their activities and provide evidence of cover when requested.

Traders must also provide a suitable risk assessment covering their stall, equipment and activities.

All traders are responsible for operating safely and complying with applicable health and safety legislation.

Traders must follow reasonable safety instructions issued by the festival organisers.

8. Food & Drink Traders

Food and drink traders must comply with applicable food hygiene, food safety and licensing requirements.

Where required, businesses must be registered with their relevant local authority and provide evidence of registration or inspection when requested.

Traders are responsible for ensuring food is prepared, stored and served safely, with appropriate allergen information available to customers.

The sale or supply of alcohol must be declared in advance and is only permitted where the necessary licensing arrangements and festival approvals are in place.

9. Waste & Site Responsibilities

Traders are responsible for keeping their allocated pitch and surrounding area clean and tidy throughout the festival.

All waste must be disposed of appropriately, including food waste, packaging, cooking oils and other materials generated through trading activities.

Traders must leave their allocated area clean and free from equipment and rubbish when departing.

10. Festival Rules & Organisers' Rights

The festival organisers may issue reasonable instructions relating to site safety, access, stall positioning and the operation of the festival.

Traders must comply with these instructions and must not undertake activities materially different from those declared in their application without prior approval.

Where a serious safety concern arises, the organisers may require an activity to stop until the concern has been resolved.
